Onboarding & Trials

 

Q: How long does onboarding take after signing the contract? Is there a limit to how many entities I can add?

A: Traact's onboarding process for Entity Management typically takes 1-2 weeks, depending on the number of entities and how quickly the necessary information is provided to the Account Manager. There is no limit to the number of entities you can visualize in your workspace.

 

 

 

 

Q: Can I try modules I did not sign up for?

A: Yes, we offer 14 or 30-day trials of all modules available to customers. Our current Modules include:

Traact App Access

 

Q: What do I need to provide to have access to my workspace?

A: To set up your personalized workspace, we’ll need the following details:

  • Organizational Structure

  • Entity Names

  • Registration Number

  • Jurisdiction

  • Primary Address

Your Account Manager will provide a spreadsheet for entering the necessary information. Once shared, your Account Manager will schedule a walkthrough and provide access to your workspace.

 

Q: How can I log in to Traact?

A: You’ll gain access to Traact after your Account Manager provides a walkthrough of your customized environment. Once completed, go to Traact, create your account, and log in. Your workspace will then be available to use.

 

Q: How many people can have access to my company's workspace?

A: The number of people who can access your workspace is unlimited. You can add as many collaborators as you need without adding extra seats or extra cost.

 

Q: Can I communicate with Traact inside the App?

A: The best way to communicate with your Account Manager is by creating a task inside Traact. Each task has an 'Activity' tab that functions as a messaging system. You can tag Legal Operations Traact in your messages if you have any questions.

 

Q: Can I customize or restrict the level of access a user has to my workspace?

A: Yes, once you gain access to your workspace, you can manage each user's permissions and restrictions within the app. Below are the available permission levels in Traact:

  • Admin: Users with Admin access have full control over all modules, including the ability to manage contacts.

  • Edit: Users with Edit access have full control over designated modules but cannot manage contacts.

  • View: Users with View access can only view content within the module but cannot make any changes.

  • No Access: Users with No Access cannot view or interact with the module.

  • Restricted Access: Users with Restricted Access can only view matters they are tagged in as an assignee or collaborator.

Traact Registered Agent Services

 

Q: How long does it take to switch Registered Agents? And what do I need to provide to start this process?

A: It depends on the number of entities and their jurisdictions. Traact will file the Change of Agents with the SOS, but the Registered Agent switch can take 2-30 business days, depending on the state and its status. To start, you’ll need to provide Traact with the following information: Signatory Name & Title and a confirmation of the entities that will have the registered agent switched. If the state requires any additional information, your Account Manager will contact you.

 

Q: Will Traact Cancel my Other Registered Agent Services?

A: Unfortunately, no, you are responsible for canceling any existing Registered Agent services for your entities. Due to security, Traact won't be able to withdraw these services for you. Failure to complete this step may result in your previous Registered Agent continuing to charge you for services that Traact is now providing.

 

Q: How will I receive the SOPs (Service of Process) when Traact is my Registered Agent?

A: The Traact SOP Team will create a task with a clear title and description stating how the SOP was received and the date, and the SOP document will be attached to it. The matter will then be assigned to you and/or any respective team members. If no action is taken within two days, the Traact SOP Team will send a reminder via the "Activity" tab. If you don't get a response within two days, a final reminder email will be sent to ensure you receive the follow-up.

 

Q: What happens to SOPs served to our previous Registered Agent(RA)?

A: A Registered Agent is responsible for accepting SOPs for the entities they represent and forwarding them to the appropriate contact on record. During an RA transition, your previous RA should either forward any SOPs they receive to the contact they have on file or decline to accept them if they no longer represent the entity. If your previous RA accepts an SOP on behalf of an entity, they are responsible for forwarding it. If they refuse to accept it, the process server must identify the correct representative and reserve it.

We make every effort to complete the switch as quickly as possible, ensuring that any new SOPs are sent to us directly. However, you may notice some outstanding SOPs or ongoing litigation being served on the previous agent. This often happens when the process server hasn’t checked the updated SOS records. Rest assured, if the old agent still accepts an SOP on behalf of the entity they no longer represent, they are still obligated to forward those to the entity.

 

Q: Where can I find documentation related to the Registered Agent switch?

A: Within each entity, you'll find a Documents tab organized by yearly folders. Each folder contains documents issued during the corresponding year. If Traact is your Registered Agent, you’ll find all service-related documents—such as Annual Reports, Amendments, Dissolutions, and Certificates—in these annual folders.

 

Q: Can I handle my international or domestic entities in Traact without having Traact as my Registered Agent?

A: Absolutely! Traact provides a platform for managing your entities and streamlining your processes. However, if you need any documents or specific actions for your international entities, your Account Manager is here to help. Don’t hesitate to reach out!

Q: Can Traact be the Registered Agent for my international entities?

A: Yes, Traact has a Global Partner Network, which can serve as the Registered Agent for your international entities, just as we do for domestic ones. For more information, please reach out to your Account Manager.
