Signature Tracking for Contracts

It centralizes the entire e-signature process for your contracts. Instead of following up manually through email threads or external tools, you can now view every signature request, signer status, and document version in a single, organized view.

Signature Tracking helps legal and operations teams save time, reduce risk, and keep every agreement moving smoothly through the signing process. From sending a new signature request to downloading fully executed PDFs, it gives you complete visibility and control — all within the Contracts module.​

Step 1: Start a Signature Request

  • In the Contracts module click Signature View in the top-right corner.

  • Click Start Signature. Select the contract you’d like to send for e-signature.

 

 

 

 

Step 2: Add recipients

In this step, you’ll define who will receive and sign the document.
​Optional:

  • CC Recipients

    1. Start by adding up to 5 CC recipients. These contacts will receive email notifications when the signature process begins and will automatically receive a copy of the fully signed/executed document once all signatures are completed.

       

(They won’t be asked to sign — they’re only notified and copied for visibility)

  • Type each CC email address, click Add Email, and the list of added CCs will appear below.

  • You can remove any CC using the trash icon, then click Continue to proceed.

 

  • Signers

    • Add the people who will sign the document.
      For each signer, enter their full name and email address.

You can add as many signers as needed by clicking “Add another signer.”

If you’d like to define a signing order, check the option “Set signing order.”

This ensures that signatures happen one by one, in sequence:

  • Only the first signer will have access to the document initially.

  • Once they sign, it’s automatically sent to the next signer.

  • Each signer can view and sign only after the previous one completes their part.

  • All signers receive email notifications about each stage — when the process starts, when someone signs, and when it’s completed.

This workflow is especially useful for contracts that require a clear approval chain, like manager → director → client.

After adding all signers and (optionally) setting the signing order, click Continue to move to the document editor.

From there, you’ll be able to add the required fields for each signer.

 

Step 3: Edit Document

  • Add signature fields to the document

  • After adding all signers, click Continue to open the document editor.
    This is where you’ll place all the fields each signer needs to complete.

  • Use the left column to drag and drop elements such as Signature, Initials, Date, or Text fields onto the document. Use the right column to:

    • Assign each field to the correct signer.

    • Mark fields as required or optional.

    • Adjust the size and position of each field.

  • Each signer is color-coded, making it easy to see which fields belong to whom.
    You can freely move, resize, and customize the fields — the editor is fully flexible.

⚠️ Important: Each signer must have at least one assigned field before you can send the document.

Once you’re done placing the fields, click Send for Signature to begin the signing process.

 

Step 4: Track your signature requests

Once your document is sent, you can follow its progress directly in the Signature View under the Contracts module. This page gives you full visibility into every active and completed signature request.
​Here, you can:

  • View each contract’s title, sender, and signing status (Pending, Executed, Cancelled).

  • See all signers and track who has signed and who’s still pending.

  • Filter signature requests by status or contract name to find what you need faster.

  • Resend, cancel, or download PDFs without opening the contract.

 


💌 How notifications work

  • Each signer receives an email from Dropbox Sign with a secure link to sign.

  • If there’s a signing order, only the first signer gets access first. Once they sign, the next one receives the email.

  • Signers can sign directly from the email link or via Traact.
    Those next in line receive email updates as the process moves forward.

 

 

Step 5: Manage Requests and Primary Documents

Once all signers have completed their part, the document status automatically changes to Executed.


You can then:

  • Download the signed PDF directly from the Signature View.

  • See the “Executed” label beside the contract.

  • Confirm that all signers and CC recipients received the final signed copy by email.

 

Completed signatures automatically update to Executed — ready for download or audit.


🛑 Cancelling a request

If a document needs to be stopped before completion, you can cancel the signature request directly from Signature View.

To do this:

  1. Open the three-dot menu (⋮) next to the contract.

  2. Click Cancel Request.

  3. Confirm the cancellation in the pop-up.

Once cancelled:

  • The document’s status updates to Cancelled.

  • All signers are notified by email that the signature process has been stopped.

Cancel a signature process instantly — all signers are notified automatically.
